Job Description

The Finance Assistant will be responsible for general accounting functions in QuickBooks including Accounts Payable, Accounts Receivable, and other accounting functions as requested.  In addition, the Finance Assistant will help with filing records and maintaining employee files. This is a part time position for about 15-20 hours per week, with full flexibility on their schedule.

Requirements

  • Ensure all invoice/payment batches are accurate, timely and contain proper budget codes and approvals
    • Distribute daily invoices to appropriate approvers (within PawSox offices)
    • Enter Accounts Payable into Quickbooks (after obtaining approval and proper budget code)
  • Track and resolve all rejected invoices in a timely fashion
  • Set-up all new vendors with proper documentation (W-9).  Document procedures for vendor invoicing.
  • Mailing checks to vendors and filing proper documentation (check stub along with initial invoice)
  • Scanning all new invoices into an organized file structure (as directed)
  • Generating invoices for all Sponsorship agreements through QuickBooks
  • Creating separate employee files and ensuring proper forms are maintained within each employee folder (I-9, W-2, W-4 Etc.)
  • Mailing all W-4’s to Day of Game Staff Members
  • Recording deferred ticket revenue into QuickBooks
  • Recording merchandise revenue from Retail Pro into Quickbooks
  • Reconciling Credit Card and Check transactions from the Ticket Return system, Concession System and Merchandise System with Accounting system
  • Respond quickly and accurately to all accounts payable related questions and concerns
